What app would you like with that communications then?

Barely a day goes by without seeing some new app, software, cloud service or tool for internal communications, employee engagement or collaboration for use in the workplace. The Digital Workplace is well and truly here. But it is the proverbial minefield of trying to understand the how, what and why of choosing the right tool for your particular needs.

 

Every organisation is different. Departments within organisations are different in the way they work. And people are all different. Sounds obvious, but that is the difficulty of introducing any of these apps and getting people to use them properly.

 

Ultimately these apps have to provide two things:

  • Value to the business
  • Usefulness to employees

If they don’t do both, then they will fail. The thing is that these apps MUST integrate with existing platforms, they must fit in with how people work and they must fit in with the culture of an organisation. It is very difficult to provide yet another tool to ‘communicate or collaborate’, another destination that people have to go to and sign in. It is another tool to learn. So how you introduce such apps is one of the main parts of your planning.

 

You have to ask yourself: What will success look like for using these apps? And how will we measure that success?

 

Here is a simple 3 stage evaluation process to get you thinking

 

Stage 1 – Analysis: what, why, how, where…

  • What’s the problem? Analysis of where issues are that MIGHT be solved by a new tool, app or service. The key question: what will success look like?
  • How do people work? What tools are used and how? What are your current systems and platforms? Look at platforms, technology and integration. IT.
  • What do people think? Feedback. Surveys, interviews and focus groups. Leaders buy in and support

 

Stage 2 – Plan and Do

  • Set out the plan of for setup/configuration, launch and communications. How will it be structured? What groups are needed? Show people the business value (case studies in similar businesses). Connect to how people work.
  • Testing. Pilots are optional depending on company size and structure.
  • Pre-launch (get champions, training, communications & content)
  • Launch (communications and content)

 

Stage 3 – Evaluation

  • Well what did success look like?
  • Does it work? Quality monitoring: types of posts, level of conversations/sharing. How is it being used? Who is using it? And what are they saying?

 

One final point
These are just tools. You are probably using your current tools, platforms and technology in your company. Perhaps you need to improve and work with what you already have. A shiny new tech toy might not be the answer. Again it is about value to the business and your people. If an existing tool is doing OK, why not invest some time in improving it?

 

Notes
There are 5 things I noticed when researching this.

  • Many of the apps have free to use options. Either free to use plans for ever and a day or free trials. Most sites also clearly display pricing options which is very useful.
  • Most apps are relatively easy to set up. Sign up and away you go. No big IT involvement or infrastructure required. So it’s easy to test these services out with a small group for little outlay.
  • There are new apps and services coming on stream all the time.
  • The vast majority are from start ups or relatively small operations. Only the likes of Microsoft (Yammer), Cisco, IBM, Facebook and Salesforce (Chatter) would be considered large companies.
  • Mobile. Yes this is the major growth area. Many of the apps are either mobile based or have apps for the main platforms such as iOS, Android and Windows Mobile.
